Creator qualification workflow redesign
I independently redesigned a fragmented whitelist process into one structured workflow - from submission and quota control to monthly follow-up.
01 / The problem
Whitelist requests moved through too many manual steps. MCN and TSP managers received institution lists, copied requests into a shared sheet one by one, and waited for a separate approval. Managers then had to keep checking whether the status column had changed before updating each institution manually.
The same pattern continued at month end: someone needed to remember to review whether approved accounts had joined an institution and generated sales. With no consistent quota control, institutions could submit as many requests as they wanted, creating avoidable pressure for the reviewing team.
02 / My role
I owned this project end to end. I defined the whitelist rules and SOP, designed the workflow in a multi-dimensional table, set the automation logic, and linked it to a recurring review process. The workflow has been launched.

01 / Direct submission
One shared entry point
Each institution's owner enters requests directly into the multi-dimensional table. This replaces managers receiving lists and manually copying requests into a shared sheet.
04 / What changed
Less coordination overhead Request submission, status updates, and reminders no longer depend on repeated copy-paste or manual follow-up.
Clearer ownership Institutions, managers, and reviewers each have a visible role in one shared workflow.
More controlled quota use Managers can see remaining allocation before approving more accounts.
A consistent close-the-loop review Monthly follow-up is scheduled into the process instead of relying on someone remembering to do it.
05 / Suggested visuals
Add a redacted workflow diagram here first. Then include the multi-dimensional table, quota-warning example, automated notification, and monthly-review sheet. Together, these four visuals will make the project feel concrete without revealing sensitive data.
